The Financial and Office Assistant supports the Associate Director of Operations for operational and corporate functions as required to meet organizational objectives. The Director of Operations is responsible for Resource Management, Financial Services and Operational Support and the ideal candidate will be extremely motivated, committed to excellence, and ability to manage multiple priorities and deadlines.  Demonstrated commitment along with a strong work ethic are critical.

Knowledge, Skills, Abilities

        • Candidate must live in the Calgary, Alberta area and be willing to work onsite
        • Ability to utilize software and work with databases; some experience preferred

Finance Responsibilities include:

        • Provide absence backup for Operations financial processes to maintain business continuity
        • Provide general support for accounting work and perform accounts payable functions
        • Quality Check all outgoing invoices and distribute to appropriate staff for approval
        • Verify completeness and accuracy of all employee expense reports
        • Perform cost control for supporting business projects/programs
        • Support of the weekly timesheet approval process and bi-weekly payroll process
        • Comply with established internal control practices and procedures to ensure proper management of financial transactions
        • Provide general support for project financial analysis and perform cost control for supporting business projects/programs

Operational/HR Support Responsibilities include:

        • Support the onboarding process and provide orientation sessions for new hires
        • Assist with various projects and initiatives such as policy review, employee engagement surveys, staff wellness initiatives, long term service and other duties as assigned
        • Maintain an adequate filing system to ensure proper storage of all records
        • Maintaining staff records including but not limited to contracts, compensation, benefits, and training
        • Track and communicate employee renewal dates for required documentation and maintain employee electronic records
        • Participate in office operations; including maintaining the office space, equipment and supplies, while ensuring a safe and comfortable environment
        • Assist in the setup and facilitation of the meetings; maintain action registries and meeting minutes
        • Participate in the planning and execution of corporate events
        • Complete asset management updates and audits as required

Talent Management Support Responsibilities include:

        • Provide recruitment services by identifying and engaging candidates through multiple channels including developing job postings, online searches and referenced individuals
        • Participate in the screening applicants, consulting with managers to generate candidate lists, drafting interview questions, scheduling and participating in interviews, conducting reference checks, and preparing employment offers
        • Support by monitoring and tracking all resource opportunities, updating KZenEdge network of resources to maintain an appropriate relationship, and updating resource databases

Other related duties pertaining to financial management, human resources, asset management, operations and general responsibilities may be required based on aptitude, capacity and intent.

 

Minimum Education and Experience:

Degree, Diploma, or combination of certifications in Business Administration, Human Resources, Finance or Accounting and/or at least 3-5 years of related experience, or an equivalent combination of experience and training.
